Entry / Registration
Entry to moveIT EASY can be done via an Internet browser. The address (link) and the access data (username and password) will be transmitted to you by the operator.
Entering a position in the Price info
After logging in, you are always automatically in the "Price info". This serves to ensure that positions can be entered immediately without having to create or select a customer beforehand.
Please note that all items in the Price info are only stored for one day and then deleted. So if you want to keep the recorded items, they must be saved as offer.
To enter a new position, click on the [New position] button.
Once this button is clicked, the fields from [Model] - [Quantity] - [Unit] - [Value 1] - [Value 2] - [Position discount] - [Owner number] to [Position mode] will be activated.
Here you enter a model or select the search function to select a model from the “Model search”. If a unique model is not specified, the “Model search” with the search results will automatically open.
If necessary, the other fields can be filled:
Quantity
Here the desired quantity of the model is specified.
Unit
Depending on the model, the unit can be changed.
Position discount
The discount can be entered as a percentage or in euros.
Value 1, Value 2
These fields are displayed depending on the model in order to be able to specify certain configuration parameters such as width and height.
Own number
A freely usable input field in which, for example, the bill of quantities number can be entered.
Position Type
Here you can choose between standard and info position. Information items are printed on the form, but not added to the total.
Save
To start the configuration or save the selected item.
Model search
By clicking on the [Search icon], to the right of the [Model] field, the "Model Search" will be opened.
All available articles and configuration models are displayed here and can be searched either via the search bar (full-text search) or via the steps in the left area.
There are different views available (selectable in the upper right corner next to the search bar):
In the "Detail view! , in addition to the model name and graphic, various information about the model are displayed.
In the "Graphic view" only an image and the name of the product are displayed.
The "List view" displays the search result compactly and without graphics.
The desired model is transferred directly to the "Price Info" via the [Select] button - fields such as [Model] or [Piece] are already filled, but can still be changed now.
By clicking on the [Save] button, the selected item will be saved as a position or the entered item data will be taken over and the "Configurator" will be opened.
Configuration
Configuration: Details on product configuration can be obtained from the supplier!
In the configurator, you now configure the model by filling in all the necessary parameters. On the right side of the screen, the possible and valid answers for each parameter are displayed.
For some parameters, the industry offers extra information. To read them, click on the "Info icon" next to the respective parameter.
To switch between the input fields, either the Tab key or the two buttons [Next] and [Back] can be used.
With [Complete level], the missing answers at the current level – if available – are filled with predefined settings and the "Configurator" moves to the next level.
By clicking on [Finish model], the missing answers – if available – are filled with predefined values and the configuration is completed.
[Cancel configurator] or clicking on [X] will finish the configuration without saving the model.
Once the configuration has been completed, you are back in the "Price info".
Position editing Buttons/Functions
[New position] | Add a new position. | |
[Edit position] | Edit the selected item. | |
[Duplicate Position] | A copy of the selected position will be inserted at the end. | |
[Delete Position] | Deletes the highlighted position. | |
[Shift Position Up/Down] | This can be used to change the order of positions. | |
[Renumber] | Renumbers all items. This is especially useful if positions have been deleted or if the order of the positions has been changed. | |
[Refresh] | Refreshes the view. | |
[Position - price information] | Retrieves information such as sales base price, discount, sales price, purchase price, and gross profit of the selected item. | |
[Total amount] | Calls up information such as sales and purchase amount and gross profit of the document . | |
[Column Settings] | Here, columns, e.g. Own Number, can be activated or deactivated. |
Prices and discounts
Position - price information
In the "Position - price information" you can find additional information to the calculation of the unit price or amount incl. discounts.
Total amount
On this screen, the sales amount excl. and including VAT can be viewed and also changed.
If you change one of the values, you have to press [Save] to perform the calculation. As a result, the gross profit of the document changed and a correction discount was created. If you open the "Total amount info" again and click on the "eye", these values will be listed in detail. In this case, the correction discount can also be deleted or changed.
Customer overview
To create a new customer, click the [Customer Overview] button on the left side of the screen. In the "Customer Overview" you can create new customers and edit or delete existing customers.
Assign customer
Back in the "Price Info" , the previously entered customer or an already existing customer can be selected and assigned to the offer by clicking the [Assign customer] button. For this purpose, a selection mask with search function opens.
Save as offer
Using the [Save as offer] function, the previously recorded price info is saved as an offer. This requires entering a subject and selecting a customer. A consecutive offer number will be assigned.
Editing Document Data
Next to the reference is the symbol to open the "Edit document data" screen.
Here you can change the "Reference", the "Valid from" date and "Conditions". Furthermore, you can add a "Purchase-information" (to the industry).
The "Valid from" date is the date of the quotation and determines which master data version is used for calculation and whether any date-dependent actions are calculated.
Changing the markup for each document
If the function is supported by the operator, a surcharge calculation on purchase prices is possible. This can generally be preset for each supplier under [Settings] → [Purchase Price surcharge] or for each document, in "Edit Document Data". So if you want to enter a value other than the standard value for a document, open the "Edit Document Data" mask and switch to the "Purchase price surcharge" tab.
Change the value at the supplier, check the box "Calculate purchase price surcharges for the currently loaded document" and press "Save".
Load and recalculate Document
If you select [Load document], an overview of all previously saved offers is displayed. By clicking on the button [Load document], the previously selected offer is opened and displayed. If desired, offers can also be deleted on this mask.
Recalculating: If a quotation is opened that has been created with an older master data version or price list, you will receive a message that there is a new master data version for the document. By clicking [Recalculate with today's date], the document can be quickly and easily transferred to today's date and with the currently valid price list.
Attention: The document contains one or more incomplete items that require action on your part.
If this note appears, this receipt contains at least one incomplete position! This can happen if the configuration parameters of the model in the new price list have changed. All affected items are marked in red. Here it is necessary to edit the item(s) (in the configurator)!
Attention - "The document contains one or more items with models that no longer exist in the current master data. Possible solution: Delete these items and recalculate again."
In this case, the document contains items that would no longer exist in the future product version.
The offer was not recalculated! You now have to delete the item and then recalculate the document again!
Preview as PDF or RTF
An offer can be downloaded as an RTF document to open in any text editor (e.g. Microsoft Word) and edit it as needed.
To do this, click on the [Download RTF] button in the upper area of the window. The download is started in the your browser and the document can be saved.
However, you can also generate a PDF directly by clicking on [Show PDF] and have it displayed.
For this preview, the operator of moveIT EASY provides various forms. These can be selected in the [Settings] → [Forms].
Order
If the customer decides to accept the offer and place an order, this information can be stored by clicking on [Order placed?].
Send order
Once you have finished the offer, you can now send this document directly to the supplier as a purchase order. To do this, click on the [Send purchase] button. On the [Purchase-Information] screen, you can enter an order note for the supplier and your own purchase number. (This query only appears if it has been activated by the supplier or operator.)
The order has been sent to the supplier and the statuses [Order given?] and [Sending your pruchase?] change from [No] to [Yes].
